South Windsor, Conn., October 21, 2026 – As businesses expand their use of artificial intelligence, the impact is beginning to extend beyond software, productivity and staffing. New workplace research suggests AI may also influence the physical offices where employees work, creating new considerations for companies planning relocations, reconfigurations and workplace upgrades in 2027.

The CBRE’s 2026 Americas Office Occupier Sentiment Survey found that 23% of organizations already see AI influencing space-planning decisions, while another 30% expect a meaningful impact within the next two years.

The research also indicates that AI adoption does not necessarily translate into smaller offices. Half of respondents expect greater demand for multipurpose, reconfigurable space, 30% anticipate demand for more specialized environments such as innovation studios, training rooms and AI-focused laboratories, and 36% expect increased demand for higher-quality amenities and workplace experiences.

For Capitol Relocation & Logistics, these changes raise a practical question for businesses preparing to move: what should be relocated, reconfigured, installed, stored, or phased into a new workplace?

Six Ways AI Could Reshape Office Relocation Planning

1. Workstations May Need Greater Flexibility

Offices organized primarily around assigned desks may become less compatible with hybrid teams, project-based work, and changing organizational roles.

Companies moving into redesigned workplaces may need different workstation configurations or modular furniture that can be rearranged as requirements change. That can make furniture disassembly, transportation, installation, and temporary storage more significant parts of commercial relocation planning.

2. Meeting Rooms Are Becoming Technology-Heavy Spaces

Collaboration spaces increasingly combine in-person work with remote participation and digital tools.
Displays, videoconferencing systems, networking equipment, interactive technology and related electronics must be inventoried, protected, and coordinated during relocation. As a result, office moving can increasingly overlap with technology logistics.

3. Specialized AI Spaces Could Require Different Handling

CBRE found that 30% of surveyed organizations expect AI to increase demand for specialized environments, including laboratories, innovation studios, and training rooms.

Those spaces can contain specialized furniture, sensitive electronics or other equipment not typically found in a conventional office, adding another layer of planning to a commercial move.

4. IT Infrastructure May Require Careful Sequencing

Technology-dependent workplaces can make the timing of IT moves particularly important.
Servers, computers, networking equipment, and other infrastructure may need to be relocated in a specific sequence to limit operational disruption. Capitol provides data center moving and relocation services for businesses alongside broader workplace relocation support.

“A successful office move increasingly requires businesses to think about technology, furniture and operational continuity as parts of the same relocation plan,” according to a Capitol Relocation & Logistics representative.

5. Some Assets May Move Into Storage

Changing space requirements do not necessarily mean businesses must immediately dispose of furniture or equipment that does not fit the new layout.

Temporary warehousing can give companies additional flexibility while they evaluate future staffing, technology, and workplace requirements. Capitol’s office furniture installation and storage services include warehousing in a 58,000-square-foot facility for office equipment awaiting reuse or installation.

6. Office Moves May Become More Phased

As workplaces become more dependent on technology, extended downtime can become increasingly disruptive.

Rather than relocating an entire operation simultaneously, businesses may choose staged moves in which departments, furniture, equipment, and IT assets transition according to an operational schedule.

AI Does Not Necessarily Mean Smaller Offices

Current research points in several directions. CBRE found that 37% of organizations expect AI to reduce headcount and total space, while 50% expect greater demand for reconfigurable environments and 30% expect more specialized spaces.

JLL’s 2026 Future of Work Survey findings add another dimension: 78% of business and corporate real estate leaders expect AI to significantly affect real estate portfolio strategies and the corporate real estate function within three to five years.

The emerging issue for businesses is therefore not simply whether offices will become larger or smaller. It is whether existing workplaces will remain suitable as staffing models, technology requirements and collaboration patterns change.

Planning the 2027 Office Move

Companies preparing for relocation can evaluate which technology must move first, whether existing furniture fits the new workplace model, which equipment requires specialized handling, what should enter storage, and whether the relocation should occur in phases.

Addressing those questions early can help businesses connect relocation planning with broader workplace and operational strategies.
